Position Summary
The Administrative Assistant provides high-level administrative and organizational support to the Executive Director and MARL’s leadership, including the Board of Directors. This role is critical to ensuring efficient operations, clear communication, and well-organized systems that support MARL’s mission and governance. The ideal candidate is detail-oriented, highly organized, proactive, and comfortable supporting senior leadership in a fast-paced nonprofit environment.
Key Responsibilities:
Executive & Board Support
- Provide direct administrative support to the Board President and Executive Director, including scheduling, correspondence, and document preparation
- Coordinate logistics for Board of Directors and committee meetings, including scheduling, room setup, and virtual meeting arrangements
- Prepare, format, and distribute meeting agendas, packets, and supporting materials
- Take meeting notes and assist with preparation of summaries or follow-up items as needed
- Administer DocuSign and other electronic signature processes for contracts, resolutions, and official documents
Scheduling & Communication
- Manage calendars and schedule meetings, conference calls, and video meetings (Zoom, Teams, etc.)
- Set up and manage video and conference calls, ensuring smooth technology support
- Assist with professional correspondence, including drafting, editing, and distributing emails and letters
- Take dictation and accurately transcribe notes, communications, or documents when requested
Document & File Management
- Create, update, and format documents, presentations, reports, and internal materials
- Organize, maintain, and manage digital files and records to ensure accuracy, consistency, and accessibility
- Support recordkeeping related to board governance, policies, and organizational documents
General Administrative Support
- Provide administrative assistance to leadership and departments as needed
- Assist with special projects and initiatives as assigned
Qualifications & Skills:
- Prior experience in an administrative or executive assistant role preferred
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office and Google Workspace (Word, Excel, Outlook, Docs, Sheets, etc.)
- Experience with scheduling tools, video conferencing platforms, and electronic signature software
- Ability to manage multiple priorities and meet deadlines
- Discretion and professionalism in handling confidential information
- Self-starter with the ability to work independently and collaboratively
- Comfortable supporting senior leadership and board-level activities
Work Environment & Schedule
- Part-time position with flexible scheduling
- Combination of on-site and remote work may be available, depending on organizational needs
- Occasional evening availability may be required for meetings
